Smartsheet Cross-Sheet Reference Copy and Paste

Smartsheet cross-sheet references must be created one at a time through the Insert Reference dialog, selecting the source sheet, choosing a range, and assigning a reference name for each one. When the same reference setup is needed on a second sheet — for example, a standard lookup reference used across a team's project sheets — the entire dialog sequence must be completed again from scratch.

The daily workaround

Recreate references through the dialog
Each cross-sheet reference in the target sheet requires opening the Insert Reference dialog, searching for the source sheet, selecting the data range, and naming the reference individually.
Look up source sheet paths manually
Builders switch to the source sheet to check its exact name and column structure before setting up the reference, because the sheet search in the Insert Reference dialog does not always surface the right sheet quickly.
Assign reference names consistently
Teams that use formulas depending on reference names must coordinate naming conventions because there is no way to copy a reference's name along with its configuration.
Re-enter references after sheet cloning
When a sheet is cloned using Save as New, cross-sheet references are copied but still point to the original source sheet, requiring manual reconfiguration in the new sheet.

With Grid Tools

How Grid Tools handles it

Copy a reference from any sheet
Grid Tools captures the full cross-sheet reference definition — source sheet, column range, and reference name — from the current sheet's reference list.
Paste into the target sheet
Switch to the target sheet and paste; Grid Tools creates the identical reference with the same source, range, and name without requiring the Insert Reference dialog.
Reference name preserved
The reference name transfers with the paste, so existing VLOOKUP or INDEX/MATCH formulas that use that name work immediately on the target sheet without formula edits.
Multiple references at once
Copy and paste a set of related references together so the full reference configuration of a source sheet can be applied to a target in one operation.

Frequently asked questions

Can Smartsheet copy a cross-sheet reference to another sheet natively?

No. Each cross-sheet reference must be configured through the Insert Reference dialog from scratch. Grid Tools adds copy and paste so references can be transferred between sheets without re-entering the source, range, and name.

Does copying a reference also copy any formulas that use it?

No. Grid Tools copies the reference definition only — the source sheet, range, and name. Formulas that reference that name must be added to the target sheet separately.

What happens if the source sheet the reference points to is not accessible from the target sheet?

Smartsheet requires the user to have at least viewer access to the source sheet for a cross-sheet reference to be active. If access is missing, the reference will show an error after pasting, the same as it would after manual creation.

Can I paste a cross-sheet reference into multiple sheets at once?

Grid Tools pastes into one sheet at a time. For applying the same reference to many sheets, use the Bulk Cross-Sheet References feature, which is designed for that workflow.
