Smartsheet Workflow Checkbox Delete

Smartsheet's workflow editor does not support multi-select for workflow cards. Deleting a set of cards from a workflow — when cleaning up a branching structure, removing obsolete action steps, or restructuring an automation — requires selecting and deleting each card individually, one at a time.

Without Grid Tools

The daily workaround

Deleting cards one at a time
Each card removal requires clicking to select the card, confirming the deletion, and repeating the process for every card that needs to go.
Slow cleanup of outdated workflow branches
Removing an entire branch from a workflow — which may contain multiple condition and action cards — means deleting each card in the branch separately.
Interruption-heavy restructuring
Workflow restructuring sessions that involve removing many cards are broken into as many individual delete operations as there are cards to remove.
Confirmation dialogs for each deletion
If Smartsheet prompts for confirmation on each card deletion, removing a set of ten cards requires ten separate confirm actions.

With Grid Tools

How Grid Tools handles it

Select multiple workflow cards with checkboxes
Grid Tools adds checkboxes to workflow cards so you can select several cards at once before initiating a delete operation.
Delete a selection in one action
After selecting the cards to remove, a single delete action removes all of them — no per-card repetition.
Faster branch removal
Select every card in an obsolete branch at once and delete the entire set, rather than dismantling the branch card by card.
Cleaner workflow restructuring sessions
Restructuring a complex workflow by removing multiple paths or steps is reduced to a select-and-delete sequence rather than a long series of individual operations.

Frequently asked questions

Does Smartsheet support selecting multiple workflow cards at once?

No. The Smartsheet workflow editor does not have a multi-select mechanism for cards. Each card must be selected and deleted individually.

Can I select workflow cards across different branches for deletion?

Yes. The checkbox selection is not limited to a single branch — you can select cards from different parts of the workflow canvas and delete them all in one operation.

Does deleting a card also delete connected downstream cards?

Checkbox delete removes the cards you have explicitly selected. Whether Smartsheet also removes downstream cards depends on the workflow structure and whether removed cards leave the branch in a valid state — review the remaining structure after deletion.

Can I use checkbox delete alongside workflow search and highlight?

Yes. Using workflow search to locate the cards you want to remove and then checkbox delete to remove them is an effective combination for targeted workflow cleanup.
